Vacancy for Receptionist/Administrator

We are looking to recruit a Receptionist/Administrator who will report to the Assistant Accountant.

Purpose of the Role – is to provide a full receptionist service to the business and also to provide admin support to the accounts function.

Responsibilities of the role are: 

Reception

  • Attend to all visitors to the Company and direct as appropriate, ensuring that all visitors sign into the business, and maintain security awareness.
  • Answer the telephone, screen, and direct calls, and to take and relay messages as required.
  • Log Boardroom bookings and arrange any catering requirements.
  • Provide general administrative and clerical support to the business as required.
  • Open, date stamp, sort and distribute incoming mail.
  • To work collaboratively with other employees and develop a strong knowledge of the business
  • Any other reasonable duty that is within your capability.

Purchasing Administration – full training will be provided.

  • Collating Goods Received Notes and Timesheets from the electronic app and site post.
  • Monitoring site post and chasing any not received weekly.
  • Process GRN’s on Sage 50 against Purchase Orders.
  • Daily audit and printing of open Purchase Orders to check correct information completed.
  • Chasing buyers for missing purchase orders and completing invoice log.
  • Internal chasing of signed invoices and dispute statuses.
  • Assist manager with junior PL duties – statement reconciliations, changing dispute codes etc.
  • Filling as required.
  • Monitor “Finance” inbox, distributing emails and printing invoices/credit notes.
  • Number Stamping and dating all invoices/credits/statements.
  • Credit cards – download statements, collate invoices, and code transactions.

Qualifications and Experience

  • GCSE in Maths and English
  • Knowledge of Excel and Sage 50 preferred
  • Experience in public facing role preferred
  • Good written and interpersonal skills and the ability to challenge constructively.
  • Ability to plan, prioritise and organise own workload
  • Confident, assertive, flexible, and self-motivated.
